Our Hire Terms and Conditions

This document is subject to change.   Any changes will be sent to you electronically 48 hours before they come into effect.  Central Coast Bamboo Toasts assumes no
responsibility for your failure to read and accept changes to the Hire Terms & Conditions.

1.   Ownership

All Hire Items supplied remain expressly the property of Central Coast Bamboo Toasts.

2.   Hire, Styling & Setup – Bookings, Deposits & Payments 

  • A quote will be provided outlining services included, but not limited to delivery, setup, styling and pack-down
  • A $150 non-refundable deposit is required to reserve your booking and specified items and is payable within 7 days of acceptance of quote or quote will expire.
  • The final invoice amount is payable in advance.  Final payment is required 90 days prior to the event date. Failure to do so will incur a fee of 5% of any remaining balance, and a further fee of 5% of the remaining balance will be applied every 7 day period.  If not paid no work will be completed.
  • All payments are to be paid via Direct Deposit to Central Coast Bamboo Toasts as provided in initial quote.
  • A public holiday surcharge of 15% applies to all labour services such as delivery, se tup, wait time and pack down.
  • It is the client’s responsibility to ensure all monies are paid promptly and correctly.
  • All monies except the initial booking deposit of $150 will be refunded within 21 days of client's event date via Direct Deposit in the instance of cancellation of wedding or event, minimum three months notice must be given to Central Coast Bamboo Toasts
  • A portion of, or the entire $150 booking Deposit will however be deducted if the Hire Items are damaged beyond normal acceptable wear and tear.

3.  Outdoor Events - Incelment Weather

  • Central Coast Bamboo Toasts has the right to determine inclement weather, for example, storms, terrential rain, lightning, very strong winds and hail
  • Central coast Bamboo Toasts encourages clients to have a inclement weather contingency plan (usually reception venue) as Central Coast Bamboo Toasts will set up under all weather conditions apart from those listed above.
  • Cancellation of ceremony will be determined six (6) hours prior to set up
  • No refund will be given to clients if Central Coast Bamboo Toasts arrive at ceremony location and set up ceremony and it is called off due to severe weather
  • Central Coast Bamboo Toasts will only set up one ceremony i.e. original outdoor location or at a pre-organised wet weather contingency venue.  If Central Coast Bamboo Toasts have not been informed of a wet weather contingency plan and a wet weather contingency plan becomes available at the last minute we will not set up  at your wet weather contingency location without suitable notice. Suitable notice is four hours prior to ceremony start time i.e. if we have set your ceremony up and the ceremony does not proceed due to sudden change in weather we will not set up again at another location, unless this has been agreed upon prior to your ceremony.

4.    Hire Period

  • Hire Period is for 45 minutes, being a single ceremony, from Central Coast Bamboo Toasts experience it is typical that a ceremony will be completed within 30 minutes.  15 minutes is then allowed for photos in front on an arch or arbour.  An additional charge of  $50 per 15 minutes should the ceremony and photos proceed more than 45 minutes - this condition is in place to allow Central Coast Bamboo Toasts to set up a second ceremony of the same day and not be late for our next client.
  • It is the client's responsibility to notify Central Coast Bamboo Toasts should they believe their ceremony will proceed more than 45 minutes.
  • It is by discretion of Central Coast Bamboo Toasts, some Hire Items are collected the day after an event, typically an event held at a private residence and a time for
        collection will be negotiated with the client prior to the event.
  • Should the event be held at a private residence or property Central Coast Bamboo Toasts will pack-down arch or arbour at the completion of ceremony and take away within no later than 45 minutes.

5.    Hire, Styling, & Setup – Cancellations or Changes to Bookings 

  • Changes to Bookings, such as item quantity or additions, must be made at least 14 days prior to the date of the event, and will be subject to availability.
  • Changes in bookings are to be made in writing and emailed to Central Coast Bamboo Toasts.
  • All labour or products provided outside of the original scope as outlined in the initial invoice will incur an additional cost.  This additional quote must be accepted at
        which point a new invoice (including all costs) will be issued.  Payment of this new invoice will then fall under the payment schedule as listed under section 2.
  • Inclement weather is the only Central Coast Bamboo Toasts cancellation policy as per the payment scheduled as listed under section 2.
  • Payments made to Central Coast Bamboo Toasts are non Transferable.

6.   Setup​ & Styling

  • Central Coast Bamboo Toasts reserves the right to refuse working in an environment that is not suitable or safe.
  • If at anytime the client shows disrespect to any of the team members of  Central Coast Bamboo Toasts we reserve the right to cancel all agreements and withhold any money paid.
  • Central Coast Bamboo Toasts reserves the right to use our judgment and make decisions based on experience in regards to how changes in pending weather will affect wedding proceedings and potential damage to stock.

7.   Delivery & Pick up

  • Central Coast Bamboo Toasts will deliver items to ceremony location at least 1.5 hours prior to ceremony start time, from our experience guests usually arrive up to
        30 minutes prior to ceremony.
  • Central Coast Bamboo Toasts will stay within the vicinity of the ceremony for the duration of the ceremony and will begin pack-down at the completion of the ceremony, typically no more than 45 minutes from the start time.
  • It is the responsibility of the client or nominated person must bring to the attention of  Central Coast Bamboo Toasts where Hired Items have incurred damaged or broken in any way during the ceremony duration.
  • Hire Items on hire are not to be moved or tampered with with prior to, the duration of the ceremony and at the completion of the ceremony, inclusive of other services, for example, photographer standing on our guest chairs, hence additional fees will be incurred.
  • All Hire Items must be left in an easily accessible position at completion of the ceremony to allow Central Coast Bamboo Toasts to pack-down.

8. Indemnity & Insurance

  • Once Hire Items have been delivered, the client assumes all responsibilities and liabilities until they have been collected by Central Coast Bamboo Toasts.
  • Central Coast does not take responsibility for any persons hurt or injured as a result of any of the hire items e.g. disorderly behavior, inappropriate use of tables and chairs such as dancing on surfaces.
  • As Central Coast Bamboo Toasts do not offer insurance, the client is responsible in insuring all appropriate policies of insurance, covering liability, property and casualty insurances in amounts necessary to fully protect Central Coast Bamboo Toasts and Hire Items against all claims, loss or damage. The client is responsible for any injury that may occur to persons over the hire period.

9. Loss or Damages

  • To avoid damage, the client must protect all items from the elements including, but not limited to, rain, hail and high winds, plus keep the items secure from the time of pick up, delivery, use, storage or waiting period before collection or return of the Hire Items to Central Coast Bamboo Toasts.
  • All outside events must have enough cover in close proximity (no more than 10 meters) from where the hire items are displayed in case of bad weather.  The shelter must have room for all hire items and guests.  Any items damaged for not providing appropriate cover will incur fees as outlined below.
  • Central Coast Bamboo Toasts does not take responsibility for any property that may be left at the venue overnight.
  • The client must use the items in the purpose and capacity that they were designed.
  • If any of the Hire Items are lost or damaged the client must immediately notify Central Coast Bamboo Toasts.
  • The client agrees to pay for all Hire Items lost, destroyed, stolen, maliciously or accidently damaged or not returned to Central Coast Bamboo Toasts. In the event of the aforementioned, the client also agrees to pay hire charges until such items are returned or paid for at current replacement cost.
  • The client will not tamper, alter, or any way interfere with, repair or attempt to repair Hire Items.
  • Hire Items are to be kept safe and secure at all times during the Hire Period.

10. Images & Promotional Use

  • Central Coast Bamboo Toasts may use any photographs taken by Central Coast Bamboo Toasts of its own Hire Items set up for events for promotional use on Central Coast Bamboo Toasts website or social media i.e. Facebook, Instagram, Pinterest or blogs.
  • It is asked that any Print Editorial, magazine or social media submissions of events where Central Coast Hire Items have been used, that Central Coast Bamboo Toasts be notified before submission and that Central Coast Bamboo Toasts receives acknowledgement on the page and/or directory for each featured item including business name website and contact details.
  • Loan for Print Editorial – Hire Fee to be negotiated on the condition that Central Coast Bamboo Toasts receives a copy of printed article or advertisement free of charge and this will feature in the Events & Media section of Central Coast Bamboo Toasts Website.
